Current Tenants
When will viewings for next year’s tenants start?
October, with the busiest period being usually late October through November.
How will I be informed that someone is going to be viewing? We aim to disturb you for as short a timeframe as possible.
You will receive an email on a Friday notifying you if your home will be available for viewings the following week.
You will receive an email each time a viewing is booked (if your house in on the viewings list) but please note this can be at late notice.
When do you conduct viewings? We aim to disturb you as little as possible.
Between 10am and 8pm Monday to Friday, and 11 am to 4pm on a Saturday.
How do you conduct viewings? Your comfort, privacy and security are important to us.
Viewings will always be conducted by a representative of Bread & Butter with a branded lanyard. They will ensure tenants remain accompanied at all times and will not let them open cupboards or drawers etc. They will knock clearly before entering any room and wait to be let in unless the room is not occupied. They will leave bedroom doors locked or unlocked as they find them and lock external doors. If you have any concerns about how viewings are conducted, send a message through your portal.
What do we do if we want to renew for next year? We would love you to stay!
Your house is available on a first come first served basis so act quickly if you want to rebook make a reservation request. Please note until you have signed a new tenancy agreement the house will be available for new tenants.
What can I do to ensure my house is let quickly so I’m not disturbed too often?
The quickest way to ensure we can let your house is to make sure it is clean and tidy; the blinds are up and everyone is out of bed so we can access every room. We have asked our representative to check some things to ensure we can relet your home quickly as follows:
- The house is clean.
- The house is tidy.
- There is no build up of domestic waste (inside or out) and the walkways are free from tenant possessions that may restrict access (e.g. bikes).
- No one is smoking in the property.
- The garden has been well maintained by our team.
- The house has been well maintained by our team.
Tenant Portal
I cannot log into the tenant portal after being sent my Tenancy Terms email.
If you’re unable to access the page, here are a few potential reasons and solutions:
1. Browser Issues: Your browser might be blocking the page from loading. Try clearing your cookies and cache in the “History” section of your browser, then attempt to log in again.
2. Device Settings: Your device may have a setting that prevents access to the page. Try logging in on a different device to see if this resolves the problem.
3. Firewall Restrictions: Your internet connection could have a firewall setting blocking elements of the page, which may prevent it from loading entirely. If you’re familiar with adjusting your firewall settings, you can try that. Alternatively, switch to mobile data or a different internet connection and attempt to login.
4. Payment Window Exceeded: It’s possible that your 24-hour window to pay the £50 holding deposit has expired, and the property is no longer available to you. However, don’t assume this is the case—please contact us at [email protected], and our team will confirm your situation.
5. Account Adjustments: A member of our team may be making changes to your account based on a previous discussion, which could temporarily prevent access.
6. Technical Issues: There might be a more complex technical issue with our system. If this is the case, please email us at [email protected] with details of the problem, and a member of our team will assist you in resolving it.
I cannot save my personal details.
Sometimes if when filling out your personal details and you use a special character that our system doesn’t recognise such as “$” or an apostrophe, our form doesn’t let you save your details. Please write your details excluding apostrophes, special accents and characters.

Guarantors
My Guarantor cannot save their details.
We are aware of an issue where guarantors may sometimes be unable to save their personal details on the portal, causing them to get stuck in a loop. If your guarantor is experiencing this problem, please contact us at l[email protected], and a member of our team will resolve it for you.
My guarantor doesn’t meet the guarantor criteria.
In some cases, we may still accept a guarantor even if they fall short on 1–2 of our criteria. However, these situations are reviewed on a case-by-case basis. If your guarantor does not meet the criteria listed below, please contact us at [email protected] to enquire whether they could still be approved.
1. They are between 30 and 70 years of age. 2. They are a UK citizen and have been a resident in the UK for the past 3 years. 3. They are in paid employment or have sufficient income (at least £32,000 per annum) from a pension, investments, or other sources to meet the financial obligations of the tenancy. 4. They are willing to complete the electronic signing of the Deed of Guarantee, which requires access to a computer and an internet connection.
What are my options If I do not have a guarantor that meets the guarantor criteria?
To act as a guarantor, the following criteria must be met:
1. They must be between 30 and 70 years of age.
2. They must be a UK citizen and have been a resident in the UK for at least the past 3 years.
3. They must be in paid employment or have sufficient income (£32,000 per annum) from a pension, investments, or other sources to meet the financial obligations of the tenancy.
4. They must be willing to electronically sign the Deed of Guarantee, requiring access to a computer and an internet connection.
In some cases, we may still accept a guarantor who falls short on 1–2 of these criteria. These situations are reviewed on a case-by-case basis, so if your guarantor does not fully meet the criteria, please email us at [email protected] to enquire if they could still be approved.
If we cannot accept your guarantor, the following alternatives are available:
1. Waiving the guarantor requirement:
If you are on a joint and several agreement and your housemates have guarantors, we can waive the requirement for you to have a guarantor with their approval.
2. Paying rent upfront:
You can choose to pay the full rent for the year in advance. In this case, we will also require a £300 security deposit, which will be returned to you at the end of your tenancy, subject to the condition of your room and communal areas.
3. Using Housing Hand as a guarantor service:
Housing Hand offers a guarantor service for a one-time fee. They will act as a guarantor on your behalf. If you choose this option, we will also require a £300 security deposit, which will be returned at the end of your tenancy, subject to the state of your room and communal areas. The £300 deposit significantly reduces the fee charged by Housing Hand.

My guarantor hasn’t received an email with their login details for the portal.
The first thing to check is that you have the guarantor’s email written correctly in the guarantor section of the tenant portal.
If your guarantor’s email was correct before you paid your holding deposit it has been sent to your guarantor. Please have them check their junk mail if they say they haven’t received it.
If you needed to change your guarantor’s email address on the portal, after it’s updated let us know via [email protected] and we will send an email to the right address.
How do I change my guarantor?
To change your guarantor, log into your tenant portal and edit your guarantor’s details. Once you have done this, notify us via [email protected] and we will publish a fresh agreement to your new guarantor.
I am using Housing Hand, what do I fill out in the guarantor section of the portal?
If you are using Housing Hand, you still need to populate the guarantor section of the portal before paying your £50 holding deposit.
Please populate the name of the Guarantor as “Housing Hand“, the other fields will need to be populated with something but it doesn’t matter what is written here, just type “.” into all required fields.
Tenancy Terms and Contracts
My Tenancy Terms summary is not what I expected.

How does the joint and several liability work on the contract?
Unless you are renting one of our 1-bed or studio properties, your group will be offered a joint and several contract. This is an industry-standard practice adopted by us and most of our competitors.
How joint and several liability works:
1. You are primarily responsible for your own rent and for damages in your room. You are also jointly responsible, along with your housemates, for any damages in the communal areas of the property.
2. Each member of the group is required to provide a guarantor who meets the following criteria:
• They are between 30 and 70 years of age.
• They are a UK citizen and have been a resident in the UK for at least the past 3 years.
• They are in paid employment or receive sufficient income (minimum £32,000 per annum) from a pension, investments, or other sources to cover the financial obligations of the tenancy.
• They are willing to electronically sign the Deed of Guarantee, which requires access to a computer and an internet connection.
Each guarantor is responsible for the rent of the tenant they are guaranteeing.
What happens if a housemate drops out?
If a group member leaves and stops paying rent, their guarantor will be pursued for payment. If neither the tenant nor their guarantor can pay, and the debt escalates to the point of collection, the unpaid rent will be divided equally among the remaining tenants on the joint and several contract.
To protect yourself against this worst-case scenario, you may want to consider guarantor or renter insurance.

Where can I see a copy of my tenancy agreement before paying my holding deposit?
All the key details of your Tenancy Agreement can be found on the “Tenancy Terms” page of your tenant portal.
If you would like to review a full version of our standard tenancy agreement, you can find a template copy under “Tenancy Documents” on your tenant portal. While this document won’t include your personal details, it is the exact agreement we will use once your tenancy agreement is published.
Your actual tenancy agreement will be made available for signature after your £50 holding deposit has been paid.
Where can I sign my tenancy agreement?
Once you have paid your £50 holding deposit, you can sign your Tenancy Agreement through the tenant portal. Simply navigate to the “Documents” section on the left-hand side and select the page titled “Tenancy Agreement.”
Can I get an extension to my Tenancy Agreement deadline?
If you require an extension to your tenancy agreement deadline for any reason, please email us at [email protected] with an explanation of why you need the extension. We will review your request and let you know if an extension can be granted.
What happens if one of my friend’s pulls out of the contract?
If any member of your group wishes to withdraw from their agreement, it is essential that you notify us as soon as possible via [email protected]. The next steps will depend on what stage of the process you are currently in, and we will provide guidance on how to proceed once we’ve been informed.
How do I pull out of my agreement?
We must be notified if you want to pull out of your tenancy agreement, the steps moving forward vary depending on what stage in the process you are so please make sure you notify us via [email protected] and we shall advise you of what happens next.
I don’t have my Student ID yet, what can I do?
If you are filling out the “Personal details” section of your tenant portal and haven’t yet got a Student ID in order to provide us with the ID itself and your Student ID number, that isn’t a problem, for the time being just upload any photo ID.
We will request your Student ID again closer to the time of your tenancy start. For now, don’t let this hinder you progressing through and reserving the property.
Which address do I fill out on my Right-to-rent check?
For your Right-to-rent check you need to fill out your current residential address, not the property address that you’re moving into.
One group member hasn’t received their welcome email with their login details.
Firstly, have your group member check their junk mail to see if the email has made its way there.
If someone filled out the reservation form on behalf of your group member, make sure that they gave the same email they’re checking on.
If they still don’t have the mail have them notify us via [email protected] letting us know their house number and bedroom, we can then change the email on the account if necessary and re-send over the welcome email with their login details.
Where is the Special Condition for my agreement?
If your contract has any Special Conditions these are stated in the “Tenancy Terms” section of your tenant portal. They do not appear on the Tenancy agreement itself, however the Tenancy Agreement does reference these special conditions throughout the agreement, the most relevant reference of this being:
2.7 The Special Conditions apply to this agreement. For the avoidance of doubt, in case of conflict, the Special Conditions and Property Notes will prevail over any conflicting provisions in the remainder of this agreement.
In “Variations” near the start of the agreement “Special Conditions and Property Notes” are defined as:
The special conditions and property notes applying to the letting of this Property to the Tenants as have been made available to the Tenants on the Tenant Portal prior to the completion of this agreement access to which the Tenants hereby confirm.
Where can I find information regarding the utilities allowance on my contract?
Read “Schedule 2 – USAGE POLICY” on your contract. This is near the bottom of the document.
What is your policy regarding damages to the property/contents throughout the tenancy?
We do charge for repairs if you have damaged anything in the property as well as the replacement of anything that cannot be repaired. We do not however charge you when damage is attributed to fair wear and tear.
1.14.2 in your tenancy agreement defines Fair wear and tear as: wear and tear of materials caused by their use in the ordinary course. This does not include dirt or excessive wear and tear of materials caused by failure to regularly clean the materials or failure to take reasonable care as may be expected of a homeowner.
Have a read through of “Schedule 2” of your tenancy agreement, as you get to the bottom we provide all terms and conditions relating to additional charges as well as an itemised list of what we charge in specific use-cases, so that you know what something is worth.
If you deem it to be easier and cheaper we would advise if you do break/damage something, see if it’d be cheaper and easier to repair it yourself so as not to incur a charge at the end of your tenancy.
Each occupant of a property is responsible for their own bedroom and then as a group are jointly liable for the communal areas of the property.
Can my boyfriend/girlfriend live with me despite not being on the tenancy agreement?
All occupants of our properties must be on the tenancy agreement, we do not allow subletting in any way.
At what point am I tied into the agreement?
You are tied into the tenancy once you have signed the Tenancy Agreement.
I have signed my tenancy agreement, but it doesn’t say completed on the tenant portal.
This will show as completed once all group members have signed the agreement.
Is there a cooling off period for signing the tenancy agreement?
There is no cooling off period for the tenancy agreement, once you have signed it you are liable for the agreement for the full term.
What do we do if we may want to change the Start and/or end date of our tenancy agreement?
We cannot often accommodate a change in contract dates, all of our contracts firstly must start on a Monday and end on a Sunday. Our landlords have typically asked for a particular term for us to let the property for so contract length negotiation is not something we can do on almost all properties. However let us know via [email protected] if this is causing a severe issue for your group, we may have something else we can offer you on a different/shorter term.
Can someone take over my tenancy?
You can have a replacement take over your tenancy if:
1) The replacement is suitable, you would need to put forward a student if you are in a student group for example.
2) You have at least 27 weeks remaining on the contract in question.
If you are still at the initial stages of your agreement you will need to contact us via [email protected] letting us know you want to be replaced.
If you have already been contracted to the room you will need to notify our Contracts Team via the “Send a Message” function of your tenant portal letting them know you’d like to be replaced.The Contracts Team would then explain your legal obligations and let you know the next steps that need to be taken in order to complete the takeover.
Payments and Deposits
I do not understand my rent payments.
Firstly, check the duration of your contract. All of our contracts are for a fixed number of weeks, starting on a Monday and ending on a Sunday.
Once you know the length of your contract, multiply the weekly rent you have been offered (inclusive of bills) by the number of weeks. This figure represents the total amount you will need to pay over the course of your tenancy.
The £50 holding deposit will be deducted from this total before the remainder is divided into instalments.
If you are on a termly payment plan, your rent has been split into three instalments. These payment dates align with the typical schedule for student finance disbursements.
If you are on a monthly payment plan, check how many instalments your payments have been divided into to understand how the total rent is distributed.
Please note, multiplying your weekly rent by 4 will not give you your monthly rent. This is because months are not exactly 28 days long, and you will also need to account for the extra 2–3 days in most months.
Additionally, if your contract does not align neatly with a whole number of months, each monthly payment will include a portion of the extra week(s) that fall outside of complete months.

Who needs to pay a £50 holding deposit?

How long do I have to pay my holding deposit?
You have 24 hours from the time your Tenancy Terms Email is sent to complete the following steps:
1. Log in and review the main details of the tenancy agreement on the “Tenancy Terms” page.
2. Fill in your “Personal Details,” “Emergency Contact Details,” and “Guarantor Details” (if applicable).
3. Pay your £50 holding deposit to secure the property.
Please ensure all steps are completed within this timeframe to confirm your booking.
Is the £50 holding deposit a fee?
No, the £50 holding deposit is not an additional fee; it is deducted from your total rent. This reduction is reflected in your rent total before it is divided into instalments.
My Holding Deposit Payment is stuck on “Processing”.
This is a known issue that can occasionally occur. If you experience this problem when attempting to make a payment, please wait 15–20 minutes and try again.

When are my payments due?

How do I change my payment plan?

Can I get an extension to my Holding Deposit deadline?
If you need an extension to your holding deposit deadline for any reason, please email us at [email protected] with an explanation of why you require the extension. We will review your request and let you know if an extension is possible.
Do I need to pay Council Tax and is it included in my rent?
If you are a student you by law are exempt from paying Council Tax. We will never include Council tax in your rent without explicitly stating what it is.
How is my house’s utility allowance calculated?
Our utility prices are in part based on the Student Energy Group’s estimates for inclusive bills packages at the various house sizes we have.
Of course if we have let the property in the past and it isn’t newly refurbished, we also have our previous tenant’s usage to factor in along with new energy costs in order to give us an accurate estimate for utility usage.
Group Management
Once my group members choose bedrooms, can we swap?
Swapping bedrooms further down the line is not a problem, you will however need to notify us of this via email to [email protected] of your new room allocations.
If any of you have not yet paid your holding deposits/signed your tenancy agreements, we will need this done before everyone is swapped around to make sure you’re all at the same stage of the process.

How do we replace one of our group members?
If a group member wishes to withdraw from their agreement, the process depends on the stage you’re currently in:

• The group member who wants to drop out must contact us via [email protected] to let us know they wish to be replaced.
• If they are uncooperative, another member of the group can contact us on their behalf. - If the Group Member Has Already Signed the Contract
• They must notify our Contracts Team via the “Send a Message” function in their tenant portal, requesting to be replaced.
• The Contracts Team will explain their legal obligations and provide the next steps required to complete the takeover process.
Next Steps for Replacing the Group Member:
1. The person you want to replace them should submit a reservation using this link: Property Reservations.
2. In their reservation form, they must include:
• The property name.
• The names of at least some group members in the notes section, so we can identify the group they’re joining.
If the property does not appear in the dropdown menu but the room is available:
• Have them place a reservation against any room in the same city with the same tenancy year.
• They must include details of the correct property and room in the notes section of the reservation form. We will adjust the reservation manually and send over the welcome email.

Property Reservation
How do I place a reservation for a property?
You can place a reservation for a property here.
When filling out the reservation, make sure each group member has their own email and phone number filled out. If you are sharing an email address you will be asked to fill out the reservation form again.
Why does the property I want to reserve not appear on the reservation request form?
It may be that the property you are trying to reserve is being offered to another group, they may have even all paid holding deposits for it.
However all is not lost, often ‘first reserve’ groups get the opportunity to take a property when the group in before them choose not to go ahead, so it’s definitely worth placing a reservation. If the property you wanted has been taken down, place a reservation on another property in that city of the same size and write in comments you’d like to be ‘first reserves’ for the original property you wanted.

My group wants to reserve a property but we don’t have all of our group members yet.
If you want to reserve a property but don’t yet have all group members yet that’s no problem you can put in your reservation for a property with just your details by selecting the rooms(s) you won’t be occupying on the reservation form and ticking the “Tick this box if you have been offered this room with exclusivity” button. That way you can skip having to enter any details for that bedroom and can submit your reservation to us.
We’ll then send you tenancy terms as a group with placeholders put against those vacant rooms, when your final members join your group we can send tenancy terms out to them too.
I want to reserve a property, but don’t have all group members details.
f you’d like to reserve a property but don’t yet have all your group members’ details, that’s absolutely fine. You can make a reservation using just your own details. Simply select the room(s) you won’t be occupying on the reservation form and tick the box labelled “Tick this box if you have been offered this room with exclusivity”. This allows you to skip entering details for that bedroom and submit your reservation to us without any hassle.
Once all members of your group have submitted their reservations, we’ll send the terms to you as a group. Just be sure to include the names of your group members in the notes section, so we can ensure you’re all placed together.
I want to reserve a property with less members than there are rooms in the property.
You can reserve a property with fewer group members by selecting the room(s) you wish to leave vacant on the reservation form and ticking the “I’ve been offered this room with exclusivity” box. This allows you to skip entering any details for those bedrooms and submit your reservation to us with ease.
Once I have submitted my Property Reservation, what do I need to do to secure the property?
Once you and your group have submitted your property reservation, you will need to wait for the “Tenancy Terms” email.
This email will contain a link to our tenant portal, along with a password to log in.
After logging in, you will be able to review the main details of the tenancy agreement on the “Tenancy Terms” page.
You will then need to complete the “Personal Details,” “Emergency Contact Details,” and “Guarantor Details” (if applicable) sections. Following this, you must pay a £50 holding deposit to secure the property.
Each member of your group is required to complete the above steps within 24 hours of receiving the “Tenancy Terms” email.

Once I have paid my £50 holding deposit, is the property mine?
No, each group member must pay the £50 holding deposit before the property is reserved for your group. Only once all members have made their payment will the property be taken off the market.
When will the property be taken off the market?
The property will be taken off the market for your group once all members have paid their £50 holding deposits. If you still see the property advertised online, don’t worry—it can sometimes take a little while for our marketing team to update all platforms. Additionally, some advertising platforms may be slower in processing removal requests.
How do we add a new group member to an unassigned bedroom?
If you’ve already reserved a property and wish to add someone to an unassigned bedroom, follow these steps:
1. Submit a Reservation for the New Member:
• Have the new member place a reservation using this link: Property Reservations.
• In their reservation form, they must include the names of at least some group members in the notes section so we can link them to the correct group.
2. Adjusting the Reservation Form:
• If the reservation form requires them to reserve all rooms, they should select the room(s) they won’t be occupying and tick the box labelled “Tick this box if you have been offered this room with exclusivity” to bypass the need to fill out details for all bedrooms.
3. If the Property Is Not Listed in the Dropdown Menu:
• Have the new member place a reservation against any room in the same city and for the same tenancy year.
• In the notes section, they must specify the correct property and the room they’re reserving.
• We will amend the reservation to the correct bedroom and send their welcome email.
How do I join a group that have already reserved a property?
If a group you know has already reserved a property and you first need to place a reservation with us here. In your reservation please state at least some of the group members’ names in the notes section of your reservation form so we know you’re with their group.
You may need to put in your reservation for a property with just your details but it only lets you reserve all rooms. By selecting the rooms(s) you won’t be occupying on the reservation form and ticking the “Tick this box if you have been offered this room with exclusivity” button you can skip filling out details for all bedrooms.
If the property you are looking to reserve a room in doesn’t appear on the drop down, but you know the room is available as the group you’re joining have informed you, please place a reservation against any bedroom in the same city with the same tenancy year. This way we have all of your details and can amend the reservation to the correct bedroom before sending over your welcome email. If you do this make sure to include which property you’re actually reserving for in the notes section of your reservation form.
How do I take over someone’s tenancy agreement?
If you are replacing someone in a house they will need to have first notified us either by contacting us via [email protected] if they aren’t yet contracted or by using the “Send a Message” facility on their tenant portal if they’ve already gone through our sign-up process and are contracted to the bedroom.
Provided this has been done you will need to place your reservation on the website here, after selecting the property you’d like to reserve hit the “Replace a Dropped out tenant in this property” button to place your reservation for the room.
I need to pay my £50 holding deposit, however I don’t have suitable ID to hand, what can I do?
In order to proceed you can just provide any photo ID for now in order to get the property reserved, we shall be requesting all important ID documents at a later date anyway when conducting our Right-to-rent check.
Property Information
Where can I see a floorplan of the property?
Your property may still be listed on our website, in which case you can find that here, otherwise, simply email us at [email protected] and we can send you a floor plan.
Where can I find the property’s EPC?
You can find the property’s latest EPC (Energy Performance Certificate) by logging into your tenant portal. Look under “Documents” and click “Additional Information” to find the EPC.
How do I know if I can have a pet in the property?
Pets may well be acceptable in your property, however pets need to be authorised beforehand, if you are taking a property with us and would like to keep a pet, let us know via [email protected] ideally before we have sent out your tenancy terms as we will need landlord approval for this as well as a special condition needing to be added to your agreement.

How do I put in a Viewing Request?
You can request to view a property with us here. Make sure to include your group’s total members when asked for group size, even if you can’t all attend.
Please note that your viewing isn’t confirmed until you receive your confirmation email.
Once I have submitted my Viewing Request, what do I need to do to confirm the viewing?
Once you’ve submitted your viewing request, it will either be confirmed, or a member of our team may contact you to arrange a reschedule.
Rescheduling might be necessary for the following reasons:
1. The property has recently been let, and the adverts haven’t yet been updated.
2. The property is undergoing maintenance, making an in-person viewing at your requested time unavailable.
3. Your request was too short notice, and the current tenants haven’t been notified of any viewings.
4. The requested date/time is unsuitable due to staffing availability, so we may need to rearrange.
Please ensure you check the confirmation email carefully, as the meeting address may differ from the property address you’ve requested to view.
Are there some properties that cannot be viewed in person?
In instances where our properties are undergoing refurbishment or major maintenance work we cannot conduct viewings on them. In these instances you can come and view some of our finished properties in the same area to give you a great idea of what your property will turn out like once finished.
